Client 360 card

Open a client and the whole relationship is on one screen: every visit with the service and who did it, what they spent, when they are next due based on their own rhythm, the notes the last stylist left, and the forms and consents on file with their dates. It is the screen a receptionist reads while the client is walking from the door to the chair, so it is dense on purpose and nothing on it needs a second click. The card is also where the desk sees the balance that matters mid-conversation: outstanding deposits, gift-card credit and loyalty points, each one tap from being used.

Consultation forms

Build a consultation form once — allergies, medications, the questions your insurer requires — and attach it to the services that need it. A client fills it in on their phone before the visit; the answers are stored against their record with a timestamp and a signature. An aesthetics clinic can require a consultation before an injectable can be booked at all, which is exactly how the aesthetics seed pack is set up: consultation first, treatments behind it. Answers can be updated at any later visit, and the record keeps every version with its date, which is exactly what an insurer asks to see.

Import from your old system

Export a CSV from Fresha, Booksy, or any system that will give you your client list, and the import wizard maps the columns — its own preset for Fresha and Booksy, or your own headers for anything else. It shows you what would happen before anything is written: which rows are new, which already match an existing client by phone or email, and which would only update a detail that changed. Apply commits the whole batch atomically, so a bad file never leaves you half migrated. Appointment history, gift cards and staff records don't come across yet — clients do, today, with a name and a way to reach them, ready for their first visit under your roof.

Memberships

Sell a package once — a fixed number of sessions of one service, or a spendable credit balance — at the till or online, with an optional expiry you set on the plan. The till redeems it at checkout: sessions or credit come off the balance under the same race-safe redemption gift cards use, so two staff members at two tills can never spend the same last session between them. A staff member sees the remaining balance on the client's record. Packages don't renew automatically — there's no monthly charge to take or to pause; a depleted or expired package is sold again like the first one was.

Asked before you ask

Can I import from Fresha or Treatwell?

Yes, your client list — export a CSV from Fresha, Booksy or any system and the wizard maps the columns, matching against your existing clients by phone or email so nobody gets duplicated. Appointment history doesn't come across yet; every imported client starts fresh from the day they land in BeautyZilla.

Who can see a client's notes?

Any role that can open the client screen — owner, manager, stylist or front desk — sees the same full record today, notes included; there's no per-role restriction on a client's notes yet. Viewing a decrypted consultation-form submission is written to the tenant's audit log; a plain read of a client's contact details, visit history or notes is not audited today.

Is the data mine?

Yes. Client, appointment and sales-history lists each export as CSV from their own screen today, no request or waiting. Appointment and sales exports cover the date range and filters you're currently viewing; the client export is capped at 200 rows per file, so a bigger client list takes more than one export (search narrows which 200 you get). Deeper per-client detail — notes, consultation-form answers — isn't in those exports yet; ask us if you need a full record dump.

How do consultation forms work for an aesthetics clinic?

Attach the form to the consultation service and mark it required. A client cannot book an injectable until a consultation with a completed form is on their record, and the answers are stored with a timestamp and signature.

Are patch tests tracked?

Yes. A consent or patch test is recorded with its date and validity, and the booking page warns when a service that needs one is booked by a client whose test has lapsed.

What about GDPR requests?

A client requests their own export or erasure from their BeautyZilla account, not through you — erasure anonymises their personal data ('Deleted customer') but keeps the booking and financial lines the law requires you to retain.

Can I group clients — for example everyone who has not visited in three months?

Yes, with segments on the Grow plan: last visit, spend, service, stylist, membership. A segment feeds a campaign or an automation directly.
